1) Complete all sections of the Company Registration & Payroll form.

  • The following information will also be sent to you at registration, as we guide you through every step of payroll registration & workplace pension set -up
  • Every pay frequency we send you a timesheet customised to your company employees
  • You complete and submit back to us
  • We at crown payroll ltd process your payroll and send to you with all relevant changes you have instructed us to make plus all tax & nic due amounts all compliance issues and workplace pension administration.
  • We then send a payslip electronically to each employee

2) If you are a company changing your payroll to Crown Payroll Ltd

You will have existing staff on your payroll. You will have P11’s (a complete record of each employee’s payroll history with your company). Please send the P11’s for each person on your payroll including staff that have left your employment during this tax year (From 6th April)

3) If you are a company who has just started to employ staff

You will not have P11’s for the staff as there is no employment history.
Please fully complete Company & Payroll Forms

4) Each Director or Owner please complete the Payroll Form

We need this to input your Director/Owner Normal or Table salary payment methods and enter your start date of directorship /ownership to maximise NIC allowances from HMRC.
Please complete all sections as we cannot register new companies with HMRC without full Director / Owner details


Future changes to payroll and staff

All of the forms are for new clients who are not yet entered on our data base. Once we receive your payroll instructions, we register you on our system and issue you with a reference number, and then all future instructions to us are quoting the reference number.

  • a) We send you a time sheet each month for your payroll frequency for you to complete and post back to us.

Once we receive your Registration Forms.

Normally within five working days, depending on the complexity and size of your payroll, we will send you your first Payroll, reference numbers, all HMRC compliance forms authorizing us to act as your agent regarding payroll and workplace pensions.

Once you receive the payslips, please pay your employees the net figure shown.

Or if you have chosen to us our upgrade additional service to pay your staff and / or Tax & NIC on your behalf we will set this up and commence payment processing.

HMRC PAYE small employer scheme registration

If you are a new company or new employer we will register your company with HMRC, if you have not already done so, to obtain your Employer HMRC reference number and Accounts Office reference number.

We complete the HMRC agent authorisation code request form on HMRC website and HMRC post to you the agent authorisation code, please e-mail onto us at Crown Payroll Ltd

Each month, we will send you a Tax & NIC due notice showing complete payroll payments, Tax & NIC due, full instructions on how to pay are included with each notice.

Workplace Pension Arrangements

If you have answered yes to workplace pensions for the payroll, we will process and administer your workplace pension scheme set up, fully administer on your behalf and submit contribution reports to NEST on your behalf each pay frequency.

Car Plans

If you have answered yes to car plans for the payroll we will contact you for details, as the range and diversity of the schemes and options available makes it impractical to encompass the plans in a yes/no questionnaire.
